Billing Specialist

General Summary of Duties: Responsible for gathering charge information, coding, entering info into database, complete billing process, and distributing billing information. Responsible for processing and filing insurance claims.


Supervision Received: Reports to Business Office Manager


Essential Functions:

  1. Researches all information needed to complete billing process including getting charge information from physicians
  2. Codes information about procedures performed and diagnosis on charge
  3. Assists in the processing of insurance claims including Medicaid/Medicare claims
  4. Processes all insurance provider's correspondence, signature, and insurance forms
  5. Assists patients in completing all necessary forms, to include payment arrangements made with patients. Answers patient questions and concerns
  6. Keys charge information into entry program and produces billing
  7. Processes and distributes copies of billings according to clinic policies
  8. Prepares bank deposits, records deposits, photocopies checks for entry into billing system
  9. Follows-up with insurance companies and ensures claims are paid/processed
  10. Resubmits insurance claims that have received no response or are not on file
  11. Works with other staff to follow-up on accounts until zero balance
  12. Assists error resolution
  13. Maintains required billing records, reports, files
  14. Research return mail
  15. Answers telephone, screens calls, takes messages, and provided information
  16. Participate in regularly scheduled, routine coverage of the Financial Office to assist visiting patients
  17. Provides front desk coverage as necessary
  18. Participates in educational activities
  19. Maintains strict confidentiality
  20. Other duties as assigned

The job holder must demonstrate current competencies applicable to the job position.


Education: High school graduation or GED


Experience: Minimum of one year billing experience in health care organization

Environmental/Working Conditions: Work is performed in an office environment. Involves frequent contact with staff, patients, and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.


Physical/Mental Demands: Work may require hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Manual dexterity for using a calculator or computer keyboard

Nurse Practitioner

Department: Nursing


Reports To: Clinical Services Manager or Director of Nursing


Supervisors: Medical Director


Job Summary: This position is responsible for providing primary care services, including assessing, diagnosing, prescribing, treating, and educating patients. Works closely with other clinicians in a team approach to patient care.


Primary Job Responsibilities:

  1. Assesses patient status by obtaining health history through patient/family interviews and chart reviews, assessing/presenting illness, risk factors, family history, psychosocial situation, and cultural factors; and performing appropriate physical examination
  2. Orders/performs appropriate laboratory diagnostic and other screening texts. Seeks other information as needed, including consultation with other clinicians, for evaluation of illness
  3. Integrates data to determine diagnosis and therapeutic plan, including identification of any health risks
  4. Develops and implements treatment plan by prescribing/dispensing medications and/or injections in compliance with medical practice guidelines and state laws. Handles minor lacerations.
  5. Instructs patient/family regarding medications and treatments. Educates patients regarding health promotion/illness prevention. Recommends appropriate community resources to meet patient/family needs
  6. Communicates appropriate case management information to other professionals and community agencies
  7. Prepares documentation for medical records including updating patient medical chart by posting examination and test results, diagnosis, medications, and treatment in written/computerized manner
  8. Participates in peer reviews, chart reviews, staff education, clinical guideline development, and other continuing education and quality assurance activities to demonstrate compliance with standards, regulations, policies, and procedures
  9. Acts as consultant/collaborator to clinical team on area of specialty. Complies with patient confidentiality requirements. Promotes patient advocacy
  10. Provided monitoring and continuity of care between visits according to treatment plan including triaging patient calls/e-mails
  11. Collaborates with multidisciplinary team members by making appropriate referrals
  12. Performs other duties as assigned

Education: BSN required; MSN or DNP board doctorate preferred. Successful completion of advanced practitioner training and certification as a practitioner (general or specialized) from an approved nurse practitioner program


Experience: Minimum three years of professional nursing experience in a clinic setting, plus two years of nurse practitioner experience


Other Requirements:

  • Current state registered nurse license
  • Current state license as an advanced registered nurse practitioner with DEA prescriptive authority
  • Current CPR certification

Performance Requirements:

  1. Knowledge of advanced practice of nursing including medical terminology, anatomy and physiology, pathophysiology, pharmacology and therapeutics, basic nutrition, behavioral factors, psychosocial/family systems, diagnostic testing, interpretation of results and clinical decision making, alternative treatment modalities
  2. Knowledge of professional nursing theory, practices and regulations related to evaluating and providing patient care, and professional ethics related to the delivery of nursing care
  3. Knowledge of medical equipment and instruments used to administer patient care

  5. Knowledge of health promotion, health risk identification, and patient education principles and techniques

  3. Skill in modifying methods and techniques of professional nursing to provide appropriate nursing care and in initiating appropriate emergency response and investigatory procedures

Equipment Operated: Standard medical examination room equipment and instruments. Using computer/health information management system


Work Environment: Combination of exam rooms and medical offices. Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations, and other conditions common to a clinic environment


Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with a Nurse Practitioner such as standing and walking for extensive periods of time. Life and carries items weighing up to 10 lbs, occasionally lifts or moves up to 100 lbs. Requires correct vision and hearing to normal range. Requires working under stress in emergency situations and occasionally may involve irregular working hours

Certified Medical Assistant (CMA)

Responsibilities:

  • Maintain patient privacy by HIPAA standards and regulations
  • Follow provider instruction and office documentation requirements and policies
  • Perform various back-office tasks, including creating and sending orders to specialty offices, running in-house lab tests, blood draws, and administering injections
  • Documenting patient charts with vitals, point of care tests, and other pertinent information and services
  • Clean and restock exam rooms and shared work areas
  • Perform Quality control tests and maintain daily task checklists
  • Ability to effectively multi-task in a fast-paced and potentially stressful environment, while supporting quality of work requirements
  • Occasional requirement to assist patients with registration/check-in

Education/Certification:


Qualifying candidates must have one of the following: Certificate from a medical assistant program (AAMA or NCCT); paramedic certification; or Military Corpsman certification.


AND


Current licensure for CMA, EMT, and BLS


* More than 5 years of qualified work experience in a related field

Medical Office Specialist

Essential Responsibilities:


Patient registration, check-in, insurance eligibility verification, answering phones, collecting payments. Rooming patients, communicating with clinical staff, responding to voicemails and emails. Inventory supply stocking, fulfilling requests for medical records, completing required annual e-learning courses, and trainings


Job Scope:


This position operates within set parameters in a medical setting. Certain processes and procedures can be updated based on changes in federal or state guidelines. Each staff member is responsible for maintaining their roles and responsibilities, and for staying up-to-date with changes and information typically communicated through email and verbal communications.


This position requires the ability to effectively and amicably communicate both verbally and in writing with patients, peers, and providers. Professional conduct when responding to patient inquiries or concerns, and when communicating with vendors and staff members. Accurate and professional written skills for patient account notes, when taking phone messages for staff, and responding to emails.


Specific Job Skills:


Professional skills include but are not limited to: patient scheduling, check-in, obtaining co-pays, recording accurate demographic information, checking insurance eligibility, fulfilling medical record requests, and collecting payments.


Education and/or Experience:


2+ years of experience in a medical office or face-to-face customer service type setting preferred.

X-Ray Tech

Reports To: Radiology Manager


Job Summary:


This position is responsible for operating X-ray and fluoroscopic equipment that assists radiologists and/or physicians with diagnosing and/or treating disease and/or injury


Primary Job Responsibility:

  1. Prepares patients for radiologic procedures
  2. Protects patient, self, and other staff from radiation hazards
  3. Takes X-rays following established procedures for patient care and safety, which involves setting up and operating radiographic equipment used in the medical diagnosis and/or treatment of patients and includes implementing infection control procedures for the work area
  4. Selects proper ionizing factors for radiological diagnosis. Adjusts/sets radiographic controls
  5. Positions patients and takes X-rays of specific parts of the patient's body as requested by physicians
  6. Develop and process radiological film. Checks X-rays for clarity of image, retaking when needed
  7. Distributes X-rays to appropriate medical staff
  8. Maintains required records including patient records, daily log books, and monthly reports
  9. Performs quantity and quality control checks to ensure X-ray unit meets standards required by laws, rules, and departmental policies
  10. Complies with safety standards
  11. Cleans, maintains, and makes minor adjustments to radiographic equipment, including determining equipment repairs
  12. Maintains radiographic supplies, film, and orders as necessary
  13. Performs other duties as assigned

Education: Associate's degree in radiological technology from accredited X-ray technician program. Current state X-Ray Technology certificate or license


Experience: One to three years of experience as X-ray technician, preferably in medical practice environment


Other Requirements: American Registry of Radiologic Technologist registration preferred


Knowledge:

  1. Knowledge of X-ray procedures and protocols
  2. Knowledge of anatomy and physiology necessary to perform X-ray testing including body mechanics and patient movement
  3. Knowledge of radiology equipment including safety hazards common to radiology

Skills:

  1. Skill in identifying equipment problems and correcting or notifying supervisor
  2. Skill in following infection control and radiological safety procedures

Abilities:

  1. Ability to lift and position patients for the type of X-ray procedure required
  2. Ability to notice detail in drawings and differences in shapes and shadings
  3. Ability to read and write instructions, and comprehend simple instructions, short correspondence, and memos
  4. Ability to present information  in one-on-one and small group situations to clients and other employees
  5. Ability to competently use Microsoft Office

Equipment Operated: Radiological equipment used for medical diagnosis and treatment


Work Environment: Radiological unit. Exposure to disease, radiation, and toxic chemicals in the course of performing the work


Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with an X-Ray Technician such as standing six to eight hours per day. Involves some bending, stooping, squatting, reaching above the shoulders, twisting, turning, kneeling, and pushing and pulling. Heavy lifting 75+ lbs required to move equipment and transfer patients. Occasional stress when working with anxious patients
